Proposal Insights

You sent the proposal. Then what happened?

A PDF leaves your outbox and goes dark. You find out weeks later, or never. A proposal delivered as a link tells you who opened it, what they read, and who else it reached.

The silence after you hit send

Most firms run their most important conversations blind. The proposal goes out, and the next signal is either a shortlist invitation or nothing at all. In between sits the part that actually decides the outcome: a committee reading, forwarding, comparing, and objecting, entirely out of view.

That gap is why follow-up so often sounds like a guess. It is a guess. The information needed to make it specific was never collected, because a file cannot report on itself.

What a tracked proposal tells you

Know who actually opened it

Every open resolves to a named person, not an anonymous hit counter. When a link reaches someone new, that person shows up as a distinct viewer.

See which sections held attention

Time is recorded per section, per viewer. Nine minutes on fee and forty seconds on the design narrative is a different conversation than the reverse.

Find out the moment it is opened

A notification tells you when the link is opened, and separates genuine client activity from your own team reviewing it.

Watch it spread through the committee

Proposals get forwarded to people who were never on the email. As new viewers identify themselves, the real decision group becomes visible.

Build a picture across the pursuit

Viewers accumulate into a client record, so engagement is tracked across the whole pursuit rather than one document at a time.

Control who gets in

Links can be password protected and set to expire, so a proposal that has done its job does not stay open indefinitely.

Follow-up that references something real

The difference between a generic check-in and a useful one is whether you know what the client was looking at.

  • A stakeholder you never met opened it twice. Learn who they are before the interview.
  • Most of the time went to fee and schedule. Prepare for a commercial conversation, not a design one.
  • Nobody opened it. That is worth knowing on day three rather than week three.

Instead of

“Hi, just checking in to see if you had any questions about our proposal.”

You can send

“I noticed the team spent time on the phasing section. Happy to walk through how we would sequence the work around your operations.”

Everything we know about reading the room

Who is actually in the room, what they read, and what that tells you about where the pursuit stands.

What Happens After You Send an Architecture Proposal?

Your proposal isn't blind anymore. Real-time analytics reveal exactly which committee members engaged, what sections kept them reading, and when it got forwarded to someone you never heard of.

How to Identify Stakeholders in Architecture and Construction Projects

In AEC projects, the person who signs the contract is rarely the only person who decides who gets it. Hidden stakeholders shape outcomes that firms never see coming. Here's a systematic approach to identifying them all.

What Is Stakeholder Mapping and Why Architecture Firms Need It

In complex AEC projects, the person who issued the RFP is almost never the person who makes the final decision. Stakeholder mapping is how firms identify the full decision-making landscape.

What Is a Digital Sales Room, and Why Are Design Firms Finally Adopting Them?

Enterprise teams in tech and finance have used digital sales rooms for over a decade. The technology powers a $1.2 billion market, with platforms like Seismic ($3B valuation) and Highspot ($3.5B valuation) proving the model at scale. Design firms across architecture, interiors, events, and real estate are the last professional services to catch on.

Frequently Asked Questions

How do proposal analytics actually work?
Instead of attaching a file, you send a link. Because the proposal is served from the web rather than sitting in an inbox, each open can be attributed to a person and each section can be timed. That produces a record of who engaged, with what, and for how long.
Can you tell if a proposal was forwarded?
Not by inspecting anyone's email. It works the other way around: when a forwarded link is opened by a new person who identifies themselves, they appear as an additional viewer. In practice this is how firms discover stakeholders who were never named in the RFP.
Does the client need an account to view it?
No. The proposal opens in any browser with nothing to install. Access can be gated by email or password when the content warrants it, which is also what makes per-person attribution possible.
What can I do with the data that I could not do before?
Replace the generic follow-up. Rather than sending a note that says you are just checking in, you can respond to what actually happened, such as a procurement lead spending most of their time on the schedule. It also tells you when a proposal has gone unopened, which is its own signal.
Is this different from knowing a PDF was delivered?
Substantially. Email delivery confirms a file arrived. It says nothing about whether it was opened, by whom, which parts were read, or who else it reached. Those are the questions that change what you do next.

Better clients. Higher fees. No silence after the send.
